PRIVACY POLICY

1. Who we are
Veritize ("Veritize," "we," "us") is operated by Veritize LLC, a California limited liability company located at 1212 Fifth St STE 1-507, Santa Monica, CA 90401. We provide FBA reimbursement recovery and financial reconciliation services to Amazon sellers and vendors.
This policy explains what information we collect, how we use it, how we store and protect it, who we share it with, and how we delete it. It applies to visitors to veritize365.com and to clients who engage our services.

2. Information we collect
From website visitors. When you submit our contact form we collect your name, email address, phone number, and anything you write in your message. Our website is hosted on Wix, which automatically collects standard technical data including IP address, browser type, device type, referring page, and pages visited. See "Cookies" below.
From clients — account data accessed in place. Once you engage us, you grant Veritize a secondary user account in your Amazon Seller Central or Vendor Central account with a limited set of permissions. We do not receive your Amazon login credentials, and we never ask for them. Through that delegated access we work with:

Inventory records, adjustments, and shipment receipts

Fulfillment and returns reports

Payments and settlement data

Amazon Warehousing and Distribution records, where applicable

Support cases we open or manage on your behalf
We work with this data inside your Amazon account. We do not maintain a mirror of your account.
From clients — records we retain. Outside of Amazon we retain two things. First, your basic business information: company name, contact name, email address, phone number, and the billing details needed to invoice you. Second, the reimbursement reports we prepare for you and the internal trackers used to calculate and invoice our commission. These reports and trackers contain claim identifiers, item identifiers such as FNSKUs, reimbursement types, dates, and amounts. They contain no consumer information.
What we do not collect. We do not collect or store your Amazon account credentials. We do not collect your customers' names, addresses, or payment details, or any consumer personal information from your orders. Our audit works from aggregate inventory, fee, and settlement records, never from buyer-level data.
3. How your information is used
We use your Amazon account access for one purpose: identifying, filing, and verifying reimbursement claims on your behalf. Specifically, to audit your account for discrepancies, prepare and submit claims to Amazon, manage the resulting cases, verify that approved reimbursements actually settled in your account, and produce the reports we deliver to you.
We use the reports and trackers we retain to deliver your monthly reporting and to calculate the commission owed on funds you have actually received.
We use your business contact information to communicate with you and to invoice you.
We use website visitor information to respond to your inquiry and, if you become a client, to onboard you.
We do not use your data to train models, to build products, to benchmark you against other sellers or vendors, or for any advertising purpose. We do not sell your data.
4. How your information is stored
Your Amazon account data stays in Amazon's systems. We do not maintain a mirror of your account.
The reimbursement reports, commission trackers, and business contact information described above are stored in encrypted cloud storage hosted by Apple iCloud, Microsoft OneDrive, and Google Workspace. Website form submissions are stored in Wix's systems on our behalf.
Access is limited to Veritize personnel assigned to your account.
5. How your information is protected
We protect your information through:

Encryption in transit (HTTPS/TLS) and encryption at rest across our cloud storage

Full-disk encryption on every device used to access client accounts or client records

Two-factor authentication on all accounts, using authenticator applications

Scheduled password rotation

Access limited to Veritize personnel assigned to your account, and never shared beyond them

Requesting the minimum Seller Central or Vendor Central permissions our work requires, and never requesting Admin access

Confidentiality obligations for all personnel with data access
We make no changes to your listings, pricing, or account settings.
No method of transmission or storage is completely secure. If we become aware of a breach affecting your information, we will notify you promptly and describe what happened and what we are doing about it.
6. Who your information is shared with
We do not sell, rent, or trade your information.
We share it only in these circumstances:

With Amazon, when filing claims and support cases on your behalf. This is the substance of the service.

With service providers who process data on our behalf, limited to Apple iCloud (document storage), Microsoft OneDrive (document storage), Google Workspace (email and document storage), Wix (website and contact form), and PayPal (invoicing). These providers are bound to use the information only to provide services to us.

When required by law, in response to a valid legal request, or to protect our rights or the rights of others.
We do not share your information with other Veritize clients, and we do not disclose your identity as a client without your permission.
7. How long we keep it, and how it is deleted
Amazon account data. We retain access to your Amazon account for the duration of our engagement. Our terms of service require 30 days' notice before termination; at the end of that notice period our user permissions are revoked. Because we do not maintain a mirror of your account, revoking our permissions ends our access to it.
Reimbursement reports and trackers. We retain these for the duration of our engagement and for 12 months afterward, so that we can resolve billing questions and meet our recordkeeping obligations. You may request earlier deletion in writing, and we will delete them within 30 days except where we are required to keep records for tax or legal purposes.
Business contact information. We retain your company name and contact details for the duration of our engagement and afterward as needed to resolve billing questions and meet tax and recordkeeping obligations.
Website inquiries. Contact form submissions are deleted after 6 months if you do not become a client.
To request deletion at any time, email hbinnette@veritize365.com.
8. Your rights
You may ask us what information we hold about you, ask us to correct it, ask us to delete it, or withdraw your consent by revoking our Amazon account access. Email hbinnette@veritize365.com and we will respond within 30 days.
Depending on where you are located, you may have additional rights under laws such as the California Consumer Privacy Act or the General Data Protection Regulation. We honor those rights where they apply.
9. Cookies
Our website uses cookies set by Wix to keep the site functioning, remember your preferences, and understand how visitors use the site. You can block or delete cookies through your browser settings; some parts of the site may not work correctly if you do.
10. Amazon compliance
Veritize is an independent service provider and is not affiliated with, endorsed by, or sponsored by Amazon.com, Inc. Our handling of Amazon selling partner data complies with Amazon's Data Protection Policy, Acceptable Use Policy, and the Amazon Solution Provider Portal Agreement.
11. Children
Our services are for businesses. We do not knowingly collect information from anyone under 18.
12. Changes to this policy
We may update this policy. When we do, we will change the effective date at the top and, for material changes affecting clients, notify you by email.
